Holding a Fundraising Event on Behalf of Leucan

You would like to organize a fundraising activity combining fun with the desire to help and have the money raised going to Leucan? Whatever the scope of your project, it is important to us. By getting involved, you help us enhance the well-being, healing and recovery of children with cancer. There are many types of fundraising events. Choose an activity based on your preferences, your skills, the people you know and the time you have on hand. Here are a few examples:

STEPS TO FOLLOW

  1. Planning Determine the type of fundraising event you want to hold, based on your financial objectives, network and resources, as well as the time you have on hand. If your project proposal is accepted, you must sign the Partnership Agreement between the Organizer and Leucan.
  2. Schedule– Clearly identify all the steps leading to the event and prepare a realistic schedule. We recommend that you set up an organizing committee. This will allow you to benefit from additional resources and provide greater visibility for your event.
  3. Activity date – See what events will be taking place in your region at around the same time as you plan to hold your own. You don't want a similar activity to be held at about the same time as yours. As well, people already receive numerous requests for donations.
  4. Human resources –  Determine your needs (honorary president, master of ceremonies, volunteers required before and during the event, persons assigned to promoting the event and to selling tickets). If you plan on selling tickets, we recommend that a set of 10 tickets be allocated per person.
  5. Material – Draw a list of the material required for preparing the event and on the day of the event (food, specific facilities, technical equipment, microphone, lectern, tables, chairs, tablecloths, decorations, carts, first-aid kit, toolbox, etc.).
  6. Permit – Inquire if you need a permit (i.e. to have a draw or serve alcohol).
  7. Event location – Assess the accessibility, seating capacity and parking facilities. Make sure that the event location meets security standards.
  8. Target market – Identify your target market and your soliciting network. Involve all organizing committee members in this initiative.
  9. Budget – Set a budget for estimated revenues, expenses and profits. Begin your search for sponsors early and provide Leucan with a list of those you will be soliciting. Start with local and regional sponsors, since they will be the most likely to support your event.
  10. Visibility – Good visibility will help you achieve success. Promote your event as soon as possible. Talk about it with the people around you. For this purpose, Leucan can provide you with promotional material. As stated in the Partnership Agreement between the Organizer and Leucan that you must sign upon approval of your proposal, the use of Leucan’s logo must be previously authorized and approved by Leucan.
  11. Fundraising – Determine how you will proceed to do fundraising. The money raised must be given to Leucan within 45 days of the event.
  12. Acknowledgements – You will have spent a lot of time organizing this event. Once the event is over, it is important to thank all those who helped. A thank-you letter will be enclosed with all income tax receipts issued by Leucan, but don’t forget the others!
  13. Donation follow-up – Leucan issues income tax receipts for all donations of $20 or more, in accordance with Revenue Canada Agency’s policies. In compliance with the Income Tax Act, a registered charitable organization can issue income tax receipts to its donors. Leucan must be able to provide the Revenue Canada Agency with a detailed breakdown of the amounts or of a portion of the amounts received as donations, and of the income tax receipts issued for these amounts, as well as the value of all benefits received by the persons who participated in the fundraising activities.

    If you plan on issuing income tax receipts, you must provide Leucan with: 1) a revenue and expense budget to establish the exact value of donations from each donor; 2) a list containing the full contact information of each donor, as well as the amount of each of their donations.  

    Important : Please contact the person in charge of fundraising in your region to ensure that donations are allowed before making a commitment to donors and participants.

Fill out, sign and return the Project Proposal: Fundraising Event on Behalf of Leucan form to Leucan’s head office, either by mail or by fax (see our contact information on the form). We will respond to your project proposal in about two weeks.
